This Privacy Policy explains how Template Email (the web app at https://templateemail.com, “Template Email”, “we”, “us”) accesses, uses, stores, shares, and deletes your information, including the Google user data you allow it to access when you sign in with Google. Template Email lets you design email templates and send them to people from your own Gmail account. It is developed and operated by The3DFella. 1. Summary

• Template Email accesses only your basic Google profile, permission to send email from your Gmail account, and the names and email addresses in your Google contacts.
• Template Email never reads your Gmail inbox or any email you receive.
• We use Google user data only to provide the features of Template Email that you use.
• We do not sell Google user data, use it for advertising, or use it to train AI or machine learning models.
• We do not transfer or disclose your information to third parties for purposes other than the ones described in this policy.
• We use encryption to protect your information.
• You can ask us to delete your data, and you can revoke our access to your Google account, at any time.

2. Google user data

This section describes exactly how Template Email accesses, uses, shares, stores, protects, retains, and deletes Google user data, meaning the data we receive from your Google account through Google APIs.

2.1 Data accessed

When you sign in with Google, Google asks you to grant Template Email the permissions below. Template Email accesses only the Google user data listed here:

• Basic profile (openid, email, profile): your name, your email address, and your profile photo.
• Send email on your behalf (https://www.googleapis.com/auth/gmail.send): permission to send email messages from your Gmail account. This permission does not let Template Email read, search, change, or delete anything in your mailbox, and Template Email does not request any permission to read your Gmail.
• Contacts (https://www.googleapis.com/auth/contacts.readonly): the names and email addresses of the people saved in your Google Contacts.
• Other contacts (https://www.googleapis.com/auth/contacts.other.readonly): the names and email addresses in the “Other contacts” list that Google saves automatically for people you have emailed.

From your contacts we read only names and email addresses. We do not access phone numbers, postal addresses, photos, notes, or any other contact details, and we never create, change, or delete your contacts.

2.2 Data usage

We will use your Google user data only to provide you with the services you requested in Template Email:

• Your name, email address, and profile photo are used to create your account, sign you in, show you which account is signed in, and set the “From” name and address on the emails you send.
• The send email permission is used only when you click Send, to send the email you prepared, from your Gmail account, to the recipients you chose. We never send email without your action.
• Your contacts’ names and email addresses are used only to suggest recipients as you type a name or email address when sending an email.

We do not use Google user data for any other purpose. We do not use it for advertising, marketing, profiling, analytics, credit checks, or lending, and we do not use it to develop, improve, or train artificial intelligence (AI) or machine learning (ML) models.

2.3 Data sharing

We do not sell, rent, or trade Google user data, and we do not transfer or disclose your information to third parties for purposes other than the ones provided in this policy. Google user data is shared only in these cases:

• Recipients you choose: when you send an email, its recipients receive that email, including your name and email address as the sender.
• Our hosting provider: Template Email runs on Cloudflare (Cloudflare Workers and the Cloudflare D1 database), which stores and processes data on our behalf only to run the app.
• Google: emails you send are delivered by Google's Gmail service under your account.
• Legal requirements: if we are required to by law, or to protect the safety or security of users or the public.
• Business transfer: if Template Email is merged or sold, with notice to you before your data is covered by a different policy.

2.4 Data storage and protection

We store only the Google user data the app needs to work:

• Your account details: name, email address, and profile photo link.
• A list of contact names and email addresses, copied from your Google contacts and from people you email through Template Email, used for recipient suggestions.
• A log of emails you sent through Template Email: recipient name and email address, subject, time, whether it was sent or failed, and the message and conversation IDs that Gmail returns, so the Sent tab can link to the email in your Gmail.
• Your Google access and refresh tokens, so the app can send email and read contacts for you within the permissions you granted.

We use encryption and other security measures to protect your information:

• All data is encrypted in transit with HTTPS (TLS).
• Our database is encrypted at rest by our hosting provider, Cloudflare.
• Google access and refresh tokens are additionally encrypted with AES-256-GCM before they are stored.
• Each user's data is kept separate. The app only lets you access your own data.
• Access to production systems is limited to the developer, and no person reads your Google user data except with your permission (for example, to help with a support request you send), for security purposes such as investigating abuse, or to comply with the law.

2.5 Data retention and deletion

We retain Google user data only for as long as it is needed to provide Template Email to you, which is while your account is active. When the data retention period expires for a given type of data, we will delete or destroy it.

• You may request for your data to be deleted by emailing templateemail@the3dfella.com from the email address you sign in with. We will delete your account and all of its data, including your Google user data, tokens, contacts, templates, images, and sent history, within 30 days and confirm when it is done.
• You can delete templates and images inside the app at any time; they are removed from our database immediately.
• You can revoke Template Email's access to your Google account at any time at myaccount.google.com/connections. After that, Template Email can no longer access your Google account, and you can ask us to delete the data we already stored.

2.6 Limited Use

Template Email's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Template Email does not use Google Workspace APIs, or any Google user data obtained through them, to develop, improve, or train generalized or non-personalized AI and/or ML models.

3. Other information you give us

• Templates: the email designs, subjects, and text you create.
• Images: logos and images you upload for your templates. They are private to your account, and are attached to the emails that use them.
• Brand and sender settings: sender name, company name, colors, and similar details you enter.
• Recipients: names and email addresses you type when sending an email.

This information is stored, protected, shared, and deleted in the same way as described in section 2.

4. Cookies

We only use cookies needed to keep you signed in and to protect the sign-in process. We do not use advertising cookies, third-party tracking cookies, or analytics trackers.

5. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, or to object to or restrict how it is used. To make a request, email templateemail@the3dfella.com. We will respond within 30 days. You can also complain to your local data protection authority.

6. International transfers

Cloudflare and Google run servers in many countries, so your information may be processed outside your country. We rely on these providers' standard safeguards for international data transfers.

7. Children

Template Email is not meant for children under 16, and we do not knowingly collect information from them. If you think a child has given us information, contact us and we will delete it.

8. Changes to this policy

We may update this policy from time to time. We will change the “Last updated” date above and, before we use Google user data in a new way, we will tell you in the app and ask for your consent.
